City of Elk Grove Event Sponsorship Grant Program

The City of Elk Grove offers the Event Sponsorship Grant (ESG) Program to support nonprofit organizations hosting special events that benefit the Elk Grove community. The program provides financial assistance to events that hold citywide significance, are open to all Elk Grove residents, and contribute to the city's goals of community engagement, cultural enrichment, and economic impact. The funding is designed to assist with event costs, and awards are subject to available funds and approval through the annual city budget process. The application period opens on January 10, 2025, and applications are due by February 21, 2025. Events must take place between July 1, 2025, and June 30, 2026. Applications are submitted exclusively through the City’s WebGrants system, and new applicants must register before submitting. A technical assistance webinar will be hosted on January 21, 2025, from 12:30 PM to 2:30 PM, offering an overview of eligibility requirements and the application process. Eligible organizations must be registered nonprofits (501(c)(3) or 501(c)(6)) or local government entities serving Elk Grove residents. For-profit entities and individuals are not eligible. Organizations must be in good standing with the California Secretary of State and the California Attorney General’s Registry of Charitable Trusts. They must provide proof of insurance meeting the city's risk management requirements before receiving funds. Events must comply with all public health regulations, state, and local laws, including obtaining necessary permits. ESG funding prioritizes events that have citywide significance and take place within Elk Grove city limits. Events cannot be politically or religiously motivated unless they focus on Diversity, Equity, and Inclusion (DEI). Events may be one-day, multi-day, or a related series of events. Fundraising events are eligible only if all net proceeds benefit an Elk Grove-serving nonprofit. The applicant organization must be the primary organizer and financial administrator of the event. Applications will be evaluated based on eligibility, funding request level, matching funds, and the event’s alignment with city goals. Previous event performance, fiscal responsibility, and public feedback will also be considered. The City Council will make final funding decisions. While the city aims to fund as many events as possible, applicants may receive partial funding instead of the full amount requested. If a city official has a conflict of interest with an applying organization, they must withdraw from the decision-making process. Grant recipients must recognize the City of Elk Grove in all event materials where sponsors or donors are acknowledged. Approved grantees using city facilities must comply with the City Facility Use Policy and pay any required fees. If event details change (e.g., location, format, or cancellation), the grantee must notify the city. Post-event reporting is required, including financial and narrative reports within 60 days of the event and year-end financial reporting within six months of the organization’s fiscal year-end. Mid-year funding requests will generally not be considered, except for new events planned after the application deadline. Such applicants must submit a full application and explain why they missed the regular deadline. The City Manager may approve funding requests up to $5,000, while larger requests or those requiring road closures will be reviewed by the City Council.
