Applicants must first complete a brief Letter of Interest (LOI) via the Foundant platform, which includes a description of the event, its date and location, details about the host organization or individual, projected budget, and a narrative explaining the event’s expected impact. This initial LOI stage is designed to assess eligibility for the full application process and typically requires only 5 to 10 minutes to complete. Applicants will be notified via email regarding their LOI status by March 4, 2026. If selected to continue, applicants will be invited to submit a full grant application by March 25, 2026. Notifications of funding decisions and disbursement of awards are expected to begin in April 2026, pending grantee paperwork submission. Payment methods include either bank transfer or check, and successful applicants will be required to sign a grant award agreement to receive funding. The review committee, coordinated by Downtown Inc on behalf of Better York, the Powder Mill Foundation, and the York County Community Foundation, evaluates applications based on three weighted criteria: fostering community connection (40 points), inclusivity (40 points), and event planning/management capacity (20 points). Reviewers will assess how well the event embodies York City’s cultural diversity and addresses community needs, as well as the strength of planning, staffing, budgeting, and partnerships. Grantees are expected to acknowledge support through appropriate logo usage in print and digital promotional materials, and by tagging partner organizations in social media posts. They are also encouraged to make public announcements of their grant support at relevant events and to provide opportunities for Welcoming Communities vendor tables where feasible.
